Ensuring PedOS Standard Safety & Data Protection
Last updated: 20 May 2026. This policy explains how Clio securely processes user profiles, instructional materials, AI model training inputs, and educational metadata.
1. Introduction & Ecosystem
Clio is a generative educational asset publishing studio designed to help educators, textbook authors, and institutions compile high-fidelity learning materials. Clio operates within the LearnAdapt Platform ecosystem, bridging next-generation AI model intelligence with programmatically valid documents.
We are fully committed to protecting the privacy of school administrators, educators, designers, and students. By design, Clio aligns with major international frameworks, including Singapore's Personal Data Protection Act 2012 (PDPA), EU and UK GDPR, U.S. Family Educational Rights and Privacy Act (FERPA), and Children's Online Privacy Protection Act (COPPA).
Our platform handles raw text, canvas outlines, structured datasets, and custom diagrams. We prioritize security and user autonomy over raw data collection, ensuring that private intellectual property remains completely yours.
At a Glance
- No Data Selling: We do not rent or sell your personal data or uploaded templates.
- 100% IP Ownership: Users retain full ownership of all custom generated textbooks, slides, and worksheets.
- Model Safety: We do not use private uploads, chapter manuscripts, or lesson notes to train public foundation AI models.
- FERPA / COPPA Safe: Curricula generated based on student records are scrubbed and anonymized locally.
Account Profile Data
We collect username, school email, role context, institution name, standard alignment preferences, and secure credentials required to manage your LearnAdapt LTI 1.3 Advantage authentication.
Curricular Ingestions
Syllabi, outline coordinates, custom PDFs, reference texts, LaTeX equations, and slide deck prompts uploaded to customize textbook generation are stored securely and isolated by tenant.
Generated Asset Storage
PDF worksheets, dynamic PPTX slides, and compiled coursework generated in sandboxes are hosted on secure Cloud Storage with time-gated access URLs.
2. Information We Collect
To deliver automated lesson planning and textbook compiling, Clio processes several types of information:
- Authentication Details: Provided through our secure integration with LearnAdapt's parent network via standard OAuth 2.0 and LTI 1.3 Advantage handshakes.
- Curriculum Contexts: User-inputted parameters including Grade Levels, Bloom's Taxonomy depths, subject terms, region-specific education standards, and reference files uploaded for grounding.
- Telemetry and Usage Metrics: Information logged during document compilation (e.g., script execution logs, canvas coordinates, generated page count) for CreditGate deduction audits.
3. How We Use and Process Data
We process your data strictly to operate, optimize, and secure the Generative Publishing Studio. Key uses include:
- Compiling LaTeX and structured Markdown into downloadable PDF worksheets, textbook chapters, and course syllabi.
- Autonomously writing safe Python scripts that render vector assets into PowerPoint PPTX presentation slides.
- Executing credit balance operations via the secure LearnAdapt `CreditGate::deduct()` system.
- Anonymizing instructional text and telemetry before communicating with external AI cognitive models.
4. AI Model Processing & Security
Clio relies on a tiered multi-agent Cognitive Layer utilizing approved enterprise AI model APIs. To safeguard your privacy:
All model communication is secured via SSL/TLS. No uploaded reference files or output manuscripts are used by third-party model providers to train their public models. We enforce strict contractual zero-retention guidelines (subject to typical 30-day safety cache blocks) with our cloud service partners.
5. Academic FERPA & COPPA Compliance
Clio is built specifically to support school districts and universities. Since student data is highly protected:
FERPA: Clio operates as a "School Official" under the direct control of school districts. We only process student data to tailor materials if explicitly authorized, and we never share identifiable student performance metrics with external APIs.
COPPA: Clio is not marketed to or designed for children under 13. If student cohorts interact with dynamic widgets compiled by Clio, it is done solely under authorized institutional control, requiring parent consent verified by the school district.
6. Ownership and Intellectual Property
Unlike other platforms, Clio explicitly states that you own your outputs. You retain full copyright of all generated worksheets, textbooks, presentation slides, and curriculum maps. Clio claims no royalty or distribution rights over your compiled assets.
7. International Data Transfers
Clio operates globally out of secure cloud centers. Singapore-based accounts comply fully with the PDPA transfer guidelines, securing standard model communications using standard data processing clauses (DPCs).
8. Data Retention and Deletion
We keep generated assets on our secure systems for as long as your account remains active, or until they expire from the caching system. Users can trigger immediate purge requests for reference materials and completed textbooks via the Clio Studio Dashboard.
9. Cookies & Session Storage
We use essential cookies to maintain secure authenticated states. Your visual theme settings (Dark/Light mode) are persisted locally in your browser's localStorage, minimizing cookie tracking.
10. Technical Safeguards
Our sandboxed execution environment compiles Python-generated slides and textbooks in isolated, ephemeral Docker containers, preventing execution crosstalk and protecting system resources.
11. Your Rights & Access
Depending on your jurisdiction, you have the right to inspect, correct, export, or permanently delete personal profile data. Contact our Data Protection Contact below to assert these rights.
12. Policy Revisions
We may update this policy occasionally as new AI models or regulatory guidelines are integrated. Major changes will be broadcasted directly on our landing portal.
